Job Description

We are seeking an experienced Executive Assistant to the Chief Executive Officer. The ideal candidate should have a minimum of 7 to 10 years of relevant experience in providing high-level secretarial and administrative support. This role requires exceptional organizational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously. The Executive Assistant will be reporting directly to the CEO and would serve as a liaison between CEO a senior executive of the organisation.

  • Handle daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments, managing correspondence, and compiling minutes of meetings for the CEO.
  • Prepare reports, and presentations, ensuring accuracy and professionalism.
  • Handle confidential and sensitive information with the utmost discretion and always maintain strict confidentiality.
  • Arrange travel itineraries, accommodations, and transportation for executives, ensuring cost-effectiveness and efficiency.
  • Screen phone calls, emails, and other forms of communication, and handle inquiries or redirect them to the appropriate person.
  • Coordinate and prioritize incoming requests and tasks and follow up on pending matters to ensure timely completion.
  • Assist in the preparation and coordination of meetings, conferences, and special events.
  • Maintain a professional and positive attitude while representing the organization to internal and external stakeholders.
  • Collaborate with other team members to streamline administrative processes and improve efficiency.
  • Bachelor's degree in Business Administration or a related field is preferred.
  • Proven experience as a Secretary, Personal Assistant, or in a similar administrative role for a minimum of 7 to 10 years.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Excellent verbal and written communication skills.
  • Excellent Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Exceptional attention to detail and accuracy in work.
  • Ability to handle sensitive and confidential information with integrity and professionalism.
  • Strong problem-solving and decision-making skills.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility and adaptability to handle changing priorities and work under pressure.
