Position Overview:

The PMO Specialist is responsible for managing and overseeing CEO office initiatives/projects planning, coordination, ensuring proper tracking and reporting on progress along with governance and execution. The role involves collaboration and periodic follow ups with various teams, including Consultants, Sales, HR, delivery heads, quality, sales, pre-sales, business heads, recruitment, operations, facilities, and other team to ensure smooth execution. The PMO Specialist is expected to have a strong background in project management, and having knowledge of financials understanding will be added advantage. This role will also be required to manage CEO time schedule, calendar invites, daily reports, and arrangement of meetings with team or clients.

Responsibilities:
  • Strategic Planning:
    • Driving and implementation of strategic initiatives/projects and objectives in alignment with the organization's overall objectives.
    • Collaborate with executive leadership to establish project priorities and ensure alignment with the company's strategic vision.
    • Support in CEO presentation for business plans or board or any other presentations required to be prepared with good quality and accuracy.
  • Project Governance:
    • Set up periodic governance calls for initiatives/projects with respective teams.
    • Ensure initiative and projects tracking and status, consolidation of data and reports preparation for governance calls with CEO and respective stakeholder.
    • Establish and maintain all initiatives file, presentation and contracts or other documents well organization in folder structure with right and easy accessibility.
    • Ensure compliance with organizational policies and procedures throughout the project/initiatives lifecycle.
    • Define process, preparations of various operations reports or other reports and consolidation for CEO related to sales pipeline, finance, operations, employee workforce or coordinate with respective units.
    • Capability to understand and write contract documents, review and coordinate with legal and finance team.
  • Risk Management:
    • Maintaining risk tracker - Identify, assess, and mitigate project/initiative risks to ensure successful delivery.
    • Develop and implement risk management processes and procedures within the PMO.
  • Stakeholder Communication:
    • Facilitate communication and collaboration among project teams, stakeholders, and executive leadership.
    • Prepare and present project status reports, updates, and key performance indicators to senior management.
  • Performance Measurement:
    • Establish key performance indicators (KPIs) and metrics to measure and monitor project performance.
    • Implement a continuous improvement process to enhance project delivery effectiveness.
Qualifications:
  • Bachelor’s degree in a relevant field.
  • Master’s degree or MBA in business administration /operations
  • Proven experience in project management.
  • Certification in project management methodologies is a plus.
  • Excellent communication and interpersonal skills.
  • Worked in IT company and have undemanding of IT products and services.
  • Experience in managing end to end PMO function for senior leaders or CEO.
